It is a valuable tool for sharing information in a more interactive way with other users through the Internet. Web conferencing is now a dynamic approach in communication from regular homebodies to billion dollar corporations.

Conferences can now be generated with the use of shared software like virtual whiteboards and polling, real-time VoIP (Voice over IP), visual slides, integrated presentations and spreadsheets from office applications like Power Point, MS Word, Excel, etc. On top of that, web conferencing is recordable which makes it easier for review later on.

On the business outlook, web conferencing increases productivity among staff and employees. It can mobilize anyone anywhere as access to this technology is already easily available today. This vital tool for communication is utilized to disseminate critical information to staff and employees as fast as possible. Further, trainings can already be facilitated through web conferencing procedures without the need to spend on several training equipments and personnel.

Web conferencing is also a preferred method for major advertising companies nowadays. Since recorded web conferencing clips can now be uploaded over the net or incorporated with banners for direct view by online visitors, the cost to create vibrant and convincing videos is no longer that significant to the company’s budget.

For this reason, there’s no need for very expensive outside consultants to conduct focus groups on the development of new products and services and marketing them. Department heads and technically oriented personnel can now collaborate and hold company specific brainstorming sessions.

The benefits of web conferencing don’t stop there as professionals, students, and families from all over the globe are also utilizing it.

Teachers and online educators are already using this major technology in order to continuously share knowledge to students. Web conferencing is one avenue for them to reach distant students as well as those who want to catch up with the lessons. Some college professors even provide extra educational counseling to their students while they’re hanging out in the nearby café or at the comfort of their homes.

The government, as well as politicians, also benefit from web conferencing. Important government initiatives, agendas, programs, etc. can now easily be fed to the public for awareness. In turn, the public can provide reactions and other feedback to whatever program the government is undertaking. This interactive communication between government and the public is definitely helpful for a country’s development. Moreover, politicians can readily communicate their messages and platform in order for the public to be more oriented with them and their intentions.

Web conferencing is certainly one of those important revolutionary technologies invented for communication. As development of web conferencing and other communications technology continue, so as the increase of their benefits to everybody else. There’s no doubt that in the soonest time, majority of the people around the world will have immediate access to web conferencing equipments and tools as part of their everyday lives.

Hosting a web meeting conference is perhaps one of the best solutions there is when you need to run an urgent meeting with participants in different locations, provide cost-effective means to train your employees off-site, or just launching a new service or product.

It is a known fact that most companies already have sites across the globe. Traditional communication between sites, as a result, become more costly, time-consuming and gradually ineffective. Web meeting conferencing create a faster and cheaper communication approach that is more effective than traditional communication. It is now a necessary tool in interacting with staff and employees, holding meetings and reviews, real-time training, company forums, and direct information cascade.

We’ll be giving you the following web meeting conferencing tips in order for you to host a very effective meeting with your participants:

Invest on a good technology. Make sure to setup the most top-of-the-line web meeting conferencing equipments for a seamless flow of communication. Technical-wise, it’s considered to be the primary advice of communication consultants as well as providers. A good technology is required for your most demanding needs.

Learn to know the technology involved with web meeting conferencing. For starters, a PC or a laptop should have an Internet link, digital video camera or a webcam for the live video, VoIP (Voice over IP) for the real-time audio, a software or application to coordinate the conference, and most of all, adequate space on the server as well as bandwidth in order to accommodate the meeting.

Check the web meeting conferencing software if they can be fully integrated with your office applications. If so, it would already be easier to quick-launch the program and send invitations to your participants through messaging, e-mail or calendar.

Now that you’re done scrutinizing the technology, proceed with your own planning for the web meeting. First of all, always keep in mind to draw an outline of what you want to accomplish. Don’t forget to limit yourself to what can only be covered in the time allotted for the web meeting.

Though most web meeting conferencing occurrences are urgent in nature, it’s still best to pick whom you would want to attend. Don’t forget to invite them using the web meeting conferencing software. Provide them the complete information like links, access codes, time, etc that they’ll need in order to participate.

Send out a complete agenda of the meeting and list down brief contents and highlights so the participants will have an idea of what the meeting is all about.

Before starting your meeting, make sure to gather expectations from your participants and enumerate your expectations to them as well. Web meeting conferencing is a great opportunity for you to collate raw reactions from your participants.

Record the whole meeting, so those who are not able to participate in the conference will also have the opportunity to review it. It’s a good strategic advantage that you can employ for your business.

After the meeting is done, it’s best to send thank messages to acknowledge their participation. Leave them some survey to answer in order for you to have a reference in the future on what to improve and how to engage your participants more.

With the advent of revolutionary developments in Internet technology, new possibilities have opened up for businesses in order to maximize time and cut cost. These developments gave way to significant innovation in video conferencing. Though video conferencing is not entirely unfamiliar to commerce, the new approach of business video conferencing has immensely provided great advantages in businesses.

Business video conferencing has become an efficient tool in revolutionizing the business. Not only does it save money for the business, it’s also a more convenient and methodical way of doing of business conferences, especially when it comes to urgent and spontaneous discussions. On top of that, it offers long-term benefits as a wise investment, fixed asset as well as removing costs allocated for variable funds. As developments in technology may further take place, business video conferencing may become a truly integral part of every day business operations.

Business video conferencing eliminates the need for traveling and superfluous spending of money just to convene for a conference. Technology has made it possible to provide solutions to whatever conferencing needs of the business. These solutions are customized to fit different conferencing scenarios like Q and A talks, one-on-one discussions, large conventions, and even personal or private chats. Further, solutions are also specifically tailored for different industries and type of enterprise.

The cost-effectiveness of video conferencing also makes it a financial advantage for any business. There’ll be no more need for a business to allocate funds for travel, accommodation and other allowances as the conference can immediately kick off wherever the participants are located.

It is also a lot less stressful if the meeting is just held at the convenience of one’s own office or at the boardroom than to spend a day hustling with cabs, delayed flights or hotel reservation fiascos. Business video conferencing is easier to organize without the need for longer hours of preparation. There’s also no more need to wait for all participants to arrive in a given time at a given place. Whatever the urgency of the conference may be business video conferencing is definitely a practical preference.

Video conferencing is essentially vital as a strategic business advantage. Recording can now be made from every business videoconference for playback as well as archiving. This allows participants to be able to review whatever went through the conference and take the opportunity to re-assess possible action items to hit goals. On top of that, with the introduction of other business video conferencing services like toll-free audio call-in, PINs for tracking attendance as well as operator services, business conferences are as secure and functional as ever.

More importantly, business video conferencing equipments are significant investments for the business that require less capital. There are already a number of certified business video conferencing service providers that can set-up your conferencing needs anytime. Businesses can now easily afford to have a business video conferencing system set-up as a strategic and cost-effective tool. Businesses nowadays certainly can not afford not to have one otherwise they’ll be left spending unnecessary huge amounts of money for something technology can offer in less.

The time is right for video and web conferencing to take off. While online conferencing is still seen as a technological novelty by some people, more and more businesses of all sizes are finding it be the solution to doing business and communicating with prospects, clients, employees and branch offices in an era of rising transport costs. Lets take a look at some of the factors that are bringing web and video conferencing to a very wide audience.

1. Bandwidth speeds are increasing while prices for broadband web access are falling. Video and web conferencing are more effective when users have broadband access to the Internet. Prices for various broadband connections to the Internet (DSL, Cable, T1s) are falling and more and more homes and businesses are now connected by broadband rather than dial-up connections. Broadband penetration in the US among home users has reached 60% and, especially crucial for online conferencing, in the workplace broadband usage has passed 85%.

2. Web cameras are more powerful and less costly
Video conferencing is aided by good images. Just as high speed connections to the Internet are needed to view the videos, improved cameras providing clear images are also important. The least expensive web cameras today cost as little as $10 and even sophisticated tripod-mounted cameras are reasonably priced, placing video conferencing within the reach of millions of users.

3. The price of oil and transportation is rising, and business travel is more costly. Rising energy prices means that businesses have to scrutinize their travel plans more closely. Video and web conferencing make it possible to hold meetings with staff in other cities without making expensive car or airplane journeys. In addition, some companies are also using web and video conferencing to meet new clients and provide service to existing clients. Improved video conferencing capabilities, combined with rising travel costs is a sure formula for online conferencing growth in the years ahead.

4. Businesses are improving productivity with online conferencing. The gains provided by online conferencing are more than just the money saved by not buying gasoline for a car or spending it on airfares. When you sit in your own office and hold an online conference with associates in distant cities, you can get back to your other work within seconds of the close of the online conference. The lost time out of office, associated with business trips, is an important opportunity cost that can be reduced by the creative use of web and video conferences.

5. The cost of web and video conferencing has come down greatly in the past year. Web and video conference services are now less costly than they were a few years ago and it is possible for a business to get a much higher return on their investment in online conferences. Monthly costs for some conferencing services are so low that even families and individuals can connect in informal web conferences. At the same time, for a reasonable price, businesses can even purchase their own internal video/web conferencing system and not depend on web conference services provided by an outside provider.

6. Schools and universities are holding online classes, exposing a whole new generation to the world of online conferencing. The surest way of spreading any new technology is to get young people hooked on it. And that is exactly what schools and universities are doing with web and video conferencing. By holding more online classes and conferences, young people are becoming comfortable with this way of communicating. As todays students enter the business and professional world, they are certain to bring with them a taste for the convenience of online conferencing.

Add up all these factors and it is easy to see why web and video conferencing are approaching the level of mass acceptance. If you are not taking advantage of online conferencing today, there is a good chance that you will be tomorrow.

Affordable web conferencing can be a confusing topic, many organizations and individuals have avoided web conferencing thinking it was just too high-priced and unreliable. Unfortunately I think many have confused web conferencing with video conferencing. While similar they are different.

When people think of easy and affordable video conferencing, one of the main issues that have stood in the way has been an easy to configure platform that doesnt involve an IT department. Knowing how to reserve a time slot and deciding how much bandwidth is just too complicated for the average person. This combined with configuring the equipment has made affordable video conferencing challenging and questionable at best.

Yet with skyrocketing travel costs and ever-present security concerns, many small and medium sized companies as well as individuals are looking for a simple solution and a way of using technology to bridge the gap in communications.

Just like anything else implementing something that has never been used before takes some getting used to. This is particularly true with companies, web conferencing needs to be a fully integrated solution so that it is easy to train employees and make your company more efficient. Your web conferencing solution must make clear economic sense.

Additional concerns of high bandwidth handling and broadband accessibility have held back mainstream acceptability.

You shouldnt avoid web conferencing thinking its too expensive and complicated though. In many cases you can get the same quality results as you would find with teleconferencing by implementing an intuitive solution through affordable web conferencing. Web conferencing is easy to use, and helps companies save money in the long run.

As far as costs are concerned, web conferencing offers most businesses all of their
conferencing needs. Its the new meeting solution that offers affordable conferencing with video included for all participants. Affordable web conferencing is an internet conferencing solution for sales agents looking to send video email or have round table discussions with other agents in other cities.

Web conferencing has become all the rage and is easy to use, by offering a high quality, and reliable video conferencing solution.

This allows for a powerful and quality loaded media provided through streaming video to help businesses for the better.

Affordable web conferencing allows you to conducting meetings all over the world from a central location via the internet what a great concept. By using a friendly web cam interface you are now able to see how people react to what youre saying, there is no way you can do that with just a standard conference call. This can give you an advantage when youre not sure how a particular offer might go over.

Having a complete interface that allows you to interact with video on all levels is the best solution. Web conferencing providers that allow you to send and receive electronic media have perfected the intuitiveness of using video as an everyday part of communication.

Once youve decided how best to integrated web conferencing video into your business or lifestyle youll then need to decide on how to best get the ball rolling. Currently there are a few different methods of web conferencing. Some companies provide a program that you download and then use their server as the go between. This works well but requires both participants to have the same interface. The easier way is to use a web based service that just sends the video via online streaming. This way is quicker and easier and does not require any software or downloads. Either way the revolution is here when it comes to video, finding affordable web conferencing is the next step.

If you are thinking about getting into web and video conferencing, then it is important to know what is required to operate any proposed conferencing system. Some systems run on proprietary software and need special equipment, while browser based systems usually do not require the installation of special software or equipment. Many organizations and individuals will find browser based solutions easier to use. Here are a few reasons why this is so:

1. They work on all operating systems. Do you have some users on Mac and some on PCs? Do you have some users who have Linux? If you want to connect all of these people together in one conference it may be impossible if you have to install special software to run your conference. In this case a browser based system that can run on all operating systems and all browsers allows you to connect with all of your staff or clientele without any worries about what kind of computer they are operating.

2. You don’t have to download and install software. Sure, people are becoming more computer-literate as time goes on, but downloading and installing software and getting the software to run properly can be an obstacle to some people. The good news is that with many browser based systems there is no software to download, because the installation is done on the technology provider’s host computer. Participating in a conference is as easy as going on line to view a website.

3. People anywhere in the world can go online and join the conference. With no equipment installation and no software installation to take care of, the door is open to widespread participation in your conferences. The only thing that you have to do is to notify your people and provide them with a url and a password and they can join in.

4. There is no problem with firewalls. Most offices and many individuals protect their computers and networks from hackers by using a firewall. This is good for security but can become a problem if you are trying to join people together in a conference. Many web and browser based systems are not affected by firewalls and no special instructions have to be given to conference participants whose computers may be protected by firewalls.

All of these factors add up to one very strong advantage of using browser based conferencing systems: they allow you to get maximum participation in your online events. With little or no technical obstacles, such systems make it easy for large numbers of people, using diverse equipment and with varying degrees of computer skills, to take part in online meetings. So, take a look at the various conferencing packages on the market at the present time and pick out one that is both easy to use and powerful enough to meet your communications needs.

While video conferencing and web conferencing are sometimes confused, the
reality is that web conferencing is a completely different animal, with far more
options available and a much greater range of functionality than video
conferencing. Web conferencing offers not just the opportunity to chat and
communicate via webcam so that you can see each person in your conferencing
link, but to exchange documents, share applications, access shared desktops, use
PowerPoint, whiteboards and other presentation features and even poll
participants.

It all started with PLATO

Web conferencing is the total package. Interestingly, the conceptual design
of web conferencing began long before there was a World Wide Web or Internet
structure in place. In the 1960s, the University of Illinois developed a system
known as PLATO for their Computer-based Education Research Laboratory (CERL). It
was a small, self-contained system supporting a single classroom of terminals
connected to one mainframe computer. In 1972, PLATO was moved to a new system of
mainframes that eventually supported over one thousand users at a time.

In 1973, Talkomatic was developed by Doug Brown. This was essentially the
first instant messaging program ever designed, with multiple windows
displaying typed notes in real time for several users simultaneously. In 1974,
Kim Mast developed Personal Notes, a new feature for PLATO that enabled private
mail for users.

In 1975, Control Data Corporation set up its own PLATO system in Minneapolis,
Minnesota, the first commercial use of multi-function conferencing system.
Within ten years, PLATO was being used in over one hundred sites around the
world, some with dedicated lines for full-time use.

In the late 1980s, however, microcomputers were becoming more reasonably
priced and the heyday of mainframe-based systems was over. Eventually the
original Control Data systems were shut down because PLATO was no longer
cost-effective. Control Data now has a few systems operating under the name
CYBIS.

PLATOs descendants

In the late 1970s, Ray Ozzie and Tim Halvorsen worked at CERL. Years later
they took some of the features of PLATO and greatly expanded on their
capabilities when designing one of todays most powerful web conferencing tools
– Lotus Notes, released in 1989.

Lotus Notes was the first commercially released product that really took off
to offer user-created data-bases, document sharing, and remote location
communication under one umbrella. It created a relationship based environment
that took the corporation world by storm.

Other descendants of PLATO included DEC Notes, originally known as VAX,
written by Len Kawell. It is still used today on DECs EASYnet and on Starlink,
a universal web conferencing community. NetNotes is a client-server system
designed to improve on the original DEC Notes, with WebNotes as an add-on for
World Wide Web access.

True WEB conferencing

The distinction between true web conferencing and systems conferencing is
difficult, however, to define. When the Web first became a contender as a valid
means of collaborative conferencing with document sharing, etc, many companies
took conferencing packages originally designed for intranet systems and
redesigned them. The results werent always seamless. It wasnt until the
mid-1990s that true Web Conferencing software that was reliable was available.

PLATO and other main-frame based conferencing systems were based on a
centralized structure, with all elements feeding into a central computer. This
structure saw the development of several types of conferencing software that
included Backtalk, Caucus, COW, Motet, Web Crossing, Podium, TALKaway and YAPP.

PlaceWare, arguably one of the most influential Web conferencing systems
developed, had interesting origins in the 1990s at the Xerox Palo Alto Research
Center, where it began as a multi-user game called LambdaMOO. PlaceWare was one
of the first companies to provide complete Web conferencing after the initial
release of PlaceWare Auditorium in 1997. In April of 2003, Microsoft purchased
PlaceWare, adding it to its newly formed Real-Time Collaborative Business Unit.

P2P shifts the focus of web conferencing

Another popular form of software was Groupware, essentially defined by Lotus
Notes. The difference between the centralized structure of PLATO-based systems
and Lotus is in the additional functions — Lotus provided a host of other
options like scheduling and document sharing. Groupware software is more complex
than Centralized software and focus on work flow; that is, making sure
documents, graphics and templates are where they need to be. Popular Groupware
products developed in the 1990s included InTandem, Livelink, Lotus Domino,
Oracle InterOffice, TEAMate and WebShare.

As the price of home computers dropped, peer to peer (P2P) file sharing
became more and more commonplace over the World Wide Web, although primarily on
a user to user basis. That changed when members of Napster, then an illegal,
informally organized group of college youth and other music-lovers, began
sharing millions of music files among themselves. It began a revolution in the
use of the Internet that changes the way Web conferencing was eventually
perceived. P2P began to be seen as the way to host Web conferencing, rather than
through a single server. .

Groove took this peer to peer concept and applied it to Web conferencing. The
Groove technology, originally released in 2000, was upgraded to real performance
power with Groove 2.1 in 2002 and was impressive. The advantages of peer to peer
were immediately obvious — once you loaded the software and were set up, you
never had to pay a subscription or user fee for an offsite server to store any
files, you will never lose all files in one central location, and you are set up
and good to go for life (or until the next upgrade, at least).

Another company that recognized the need for quality Web conferencing
software during these years was WiredRed Software, founded in 1998. In 2003,
they released e/pop, a real-time Web Conferencing suite with comprehensive
features for all aspects of industry — it was the first installable web
conferencing software with no significant install time.

NextPage also offers P2P web conferencing and document sharing capabilities
developed out of the Napster movement. In fact, they use the example of Napster
file sharing and downloads to illustrate to companies the advantages of using a
peer to peer network over a centralized server.

What about UseNet?

In the 1980s, Usenet software was developed with specific protocols to
format and transmit messages. It also allowed messages to be passed from one
news server to another, replicating around the world rather than being stored in
any one location. It has become the standard for news readers on the Internet,
with Netscape Navigator and Internet Explorer both having built-in news readers
for UseNet. .

For some, web conferencing can be achieved simply by taking advantage of
UseNet. Download free software to set up a news server, create a few local
newsgroups on it, and have your users access your server with their Web browsers
to create your conferencing site.

Most companies, of course, prefer to have a more professional package than
that, and ease of use and security are concerns that are addressed better by
companies who have specifically developed company or enterprise Web Conferencing
solutions. A good web conferencing package today contains voice over IP (VoIP),
co-browsing and application sharing at the minimum, with add-ons and other
features if needed, including polling, event management, PowerPoint
presentation, playback, recording and live annotation and markup.

Easynet, founded in 1994, is a broadband networking company based in Europe
providing primarily European businesses with Web conferencing capabilities. This
infrastructure based provider provides unbundled loop access to companies in
some countries as a part of a leased line program for conferencing.

VoIP is making noise

The latest frontier in Web conferencing is the practicality of using IP based
voice communications on a regular basis with Web conferencing. While Web
conferencing is considered desirable for document exchange, text messaging and
whiteboards and many other functions, many people still think VoIP technology
has poor quality overall, especially with so many people still using dial-up
connections. .

Actually, there are several contenders in the marketplace who have produced
excellent quality VoIP offerings in their Web conferencing packages, including
Voxwire, Orbitalk, RoomTalk, and VoiceCafe.

The future of web conferencing

One of the last stumbling blocks for web conferencing has been the
incompatibility between Macs and PCs. With the heavy preference for Macs by
those in graphics heavy industries such as architecture, advertising and
publishing, it has always been difficult to share documents and set up effective
Web conferencing if the clients are PC-based. .

Session from WaveThree was released in 2003 to address this problem and seems
to have actually overcome this seemingly insurmountable problem — one of the
first really effective systems for Mac/PC collaboration over the Internet. Using
a bandwidth of 128 KBPS or above, Session provides videoconferencing, desktop
sharing, document sharing, whiteboards and live annotations on photos and/or
documents. More Web conferencing platforms of this type will no doubt be on the
horizon.

As Web conferencing becomes more and more common, new developments will
inevitably arise, including, perhaps, dedicated lines that are constantly open,
improved, secure peer-to-peer access and more Mac/PC web conferencing options.
With so many players on the field, it is likely that there will be a variety of
divergent developments over the next few years.
